Retrocycle

Terms of Service

Last updated 25 October 2026

1. Who we are

Retrocycle (https://retrocycle.app, the "Service") is provided by Tiago Carvalho, sole trader (empresário em nome individual), NIF 230589685, Rua José Régio 68, 7.1, 4425-111 Águas Santas, Maia, Portugal ("we", "us"). Contact: [email protected].

2. Acceptance

These Terms are an agreement between you and us. By creating an account, joining a retro as a guest or otherwise using the Service, you accept them. If you use the Service for an organisation, you confirm you may accept these Terms on its behalf, and "you" includes that organisation. If you don't agree, don't use the Service.

3. The Service

Retrocycle is a web app for running team retrospectives: boards with cards, voting, timers, comments, action items and reports (including PDF). There is a Free plan with usage limits and a paid Pro plan, as described on our pricing page.

4. Accounts and guests

4.1 Account holders sign up with an email and password or with Google. Keep your login safe; you are responsible for activity under your account.

4.2 Guests can join a retro through a link without an account, using only a display name, and only after a team member lets them in.

4.3 Give accurate information and keep it up to date.

4.4 You must be at least 18 (or of legal age where you live) to create an account.

5. Your content

5.1 Ownership. You and your team keep all rights to what you put into the Service — cards, comments, votes, action items, links and reports ("Retro Content"). We don't claim ownership.

5.2 Responsibility. The team that owns a retro is responsible for its content and for who it invites, including content written by guests. Don't share a join link beyond the people meant to have it; we are not responsible for access caused by a link shared too widely. We don't review or moderate Retro Content.

5.3 Licence to us. You give us a limited licence to host, store, process and display Retro Content only to provide the Service (for example, showing the board, syncing it live, building reports). The licence ends when the content is deleted, subject to the retention periods in our Privacy Policy.

5.4 Don't put information into a retro that your organisation wouldn't allow in a standard online collaboration tool.

6. Acceptable use

Don't use the Service to break the law or to harass, defame or harm anyone; to access teams, retros or accounts you weren't invited to; to upload malicious code, disrupt the Service or get around plan limits; or to scrape, reverse-engineer or resell it without our written permission. We may suspend or close accounts that break these rules.

7. Plans, payment and cancellation

7.1 Free and Pro. The Free plan has the limits shown on the pricing page. Pro costs €6 per account per month, VAT included, billed monthly in advance.

7.2 Who sells Pro. Pro is sold to you by our reseller Link (Stripe), the merchant of record for your purchase. Link charges your payment method, applies VAT, issues your receipts and invoices, and handles payment questions and refunds under its own terms (https://link.com/terms). We never see your full card details.

7.3 Cancelling. You can cancel any time from Account → Billing. Pro stays active until the end of the period you've paid for; after that your account moves to the Free plan. We don't refund part-months, except where the law requires it.

7.4 Right of withdrawal (EU consumers). If you buy as a consumer in the EU, you have 14 days to withdraw from the purchase. Because Pro starts immediately, you ask us to start it during that period; if you withdraw, you may be charged for the days already used, as the law allows. Withdrawal requests can be made through Link or to [email protected].

7.5 Failed payments. If a renewal payment fails, Stripe retries it. If it still isn't paid, your account moves to the Free plan; your content is kept.

7.6 Price changes. We'll tell subscribers about any price change at least 30 days before it applies. You can cancel before then.

8. Our intellectual property

The Service — its software, design and brand — belongs to us or our licensors. You get a limited right to use it as intended, nothing more. If you send us feedback or ideas, we may use them freely.

9. Links to other services

You can paste links to other tools (such as Jira or Azure DevOps). We don't control those services and aren't responsible for them.

10. Privacy

How we handle personal data is explained in our Privacy Policy (https://retrocycle.app/privacy), which is part of these Terms. For personal data inside Retro Content we act on your team's behalf; a data processing agreement is available on request.

11. Availability

We work to keep the Service running but don't guarantee it will always be available or error-free. We may pause it for maintenance (we'll show a maintenance page) and it may be affected by our infrastructure providers. There's no formal uptime guarantee.

12. Liability

12.1 Nothing in these Terms limits liability that can't be limited by law, including for intent or gross negligence, or your statutory rights as a consumer.

12.2 Otherwise, the Service is provided "as is" and we are not liable for indirect or consequential loss, lost profits or lost data.

12.3 Otherwise, our total liability for any claim is limited to the amount you paid for the Service in the 12 months before the claim, or €50 if you use the Free plan.

13. Ending the agreement

You can delete your account at any time (Account → Delete account); your account and the teams you own are deleted as described in the Privacy Policy. We may suspend or close your account if you seriously or repeatedly break these Terms, normally after warning you. Sections 5, 8, 12 and 15 survive.

14. Changes to these Terms

We may update these Terms. For changes that matter, we'll tell account holders by email or in the app at least 14 days before they apply. If you don't agree, you can stop using the Service and delete your account.

15. Law and disputes

These Terms are governed by Portuguese law. If you are a consumer, you keep the protection of the mandatory laws of the country where you live and can go to its courts. Otherwise, the courts of Porto, Portugal, have jurisdiction.

Consumer dispute resolution: consumers can turn to an alternative dispute resolution body, such as CICAP – Centro de Informação de Consumo e Arbitragem do Porto (www.cicap.pt). More information at www.consumidor.gov.pt.
